Responsibilities, Terms & Conditions

Responsibility:

Bow Valley Golf Concierge acts solely as an intermediary for travel arrangements on behalf of clients. We assume no liability for injury, damage, loss, accident, delay, or irregularities arising from causes beyond our control, including but not limited to defects, acts of God, war, fire, machinery breakdown, riots, strikes, or any other unforeseen circumstances.

Tour services, including tee times, transportation, and lodging, are provided by independent contractors (suppliers) who do not act on behalf of Bow Valley Golf Concierge. By accepting tour arrangements, clients acknowledge and consent to the above terms.

Bow Valley Golf Concierge is not liable for any errors, omissions, acts, or any inconvenience, loss, damage, injury, or death resulting from the tour arrangements.

Quotations:

A “quote” or “quotation” is not a confirmed booking. It provides you with itinerary and pricing details to share with your Group. Often, an itinerary is revised once or twice before the Group Organizer commits to booking the accommodation and tee times. If there is something specific you would like to include, please don’t hesitate to ask us. We will quote based on your specific needs and requests, but based on our years of experience, your best value is based on “double occupancy” – two people sharing one room.

Reservations, Changes & Payments:

A non-refundable deposit of $100 per person is required upon approval, along with your credit card information. The remaining balance will be automatically charged 30 days prior to your arrival. 

The initial deposit of $100 per person is fully refundable if the trip is cancelled within five days of making the reservation, provided the reservation was initially made 35 or more days prior to departure. 

Changes made to existing reservations are subject to a $25.00 change fee. 

Inclusions:

The package includes only the items specified on your trip summary page. Any additional costs, such as hotel parking, meals, incidental charges, or pro-shop purchases, damage to property, are not part of the package unless otherwise noted.

 

Golf:

All golfers must check in at least 30 minutes prior to tee time. Tee times missed due to late check in or due to weather related issues will be handled on an individual basis by each course and are not the responsibility of Bow Valley Golf Concierge.

The decision regarding course playability rests entirely with the golf course staff, and is beyond our control. However, we will collaborate with the golf course to find the best possible solution, whether that’s a refund or rescheduling to a different date.

Once play begins, no refunds will be provided by Bow Valley Golf Concierge, for any reason. No cash refunds will be issued for rain checks obtained at any golf course. Rain does not constitute cancellation of play unless the golf course officially closes. 

Bow Valley Golf Concierge will not be responsible for lost or cancelled tee times as a result of air flight delays, war, or acts of God. 

All golf courses require proper attire (no e.g. collared shirts, Bermuda shorts, no t-shirts, cutoffs or jeans, etc.).

 **Do not bring your own alcohol onto the courses.**

No Refunds for unused services:

Refunds or allowances will not be made for transportation, accommodations, tee times, services or other portions of the trip which are unused on or after the tour departure date. Once you have arrived changes to your package are not permitted. All “no-show” reservations for golf and hotel will be subject to zero refunds.

Insurance:

Passengers are strongly advised to protect themselves with insurance.
